What to put on an invoice
Clients pay faster when the invoice answers their questions before they ask. Include:
- your business name, contact details and, if you are VAT registered, your VAT number
- the client's name and contact details
- an invoice number that goes up each time, and the invoice date
- what you did or supplied, with quantities and prices
- the total, the VAT if you charge it, and when payment is due
- your banking details, so the client does not have to ask
A quotation looks almost the same. Give it a quote number and a date it is valid until, so the client knows the price will not stay open forever. When the job is accepted, switch the document type to Invoice and update the number.
SARS has specific rules for what a tax invoice must show. If you are VAT registered, check them with SARS or your accountant.
Questions
Is this invoice template free?
Yes. There is no sign-up. Fill it in, then use Print or Save as PDF. Your details stay in your browser and are not sent to Shift Local.
Can I use it for quotes as well as invoices?
Yes. Switch the document type to Quotation. The heading changes and a "valid until" date replaces the due date.
Should I add VAT to my invoice?
Only if your business is registered for VAT with SARS. If you are, tick "Add 15% VAT" and enter your VAT number, and the heading changes to Tax Invoice. If you are not registered, leave VAT off. Ask SARS or your accountant if you are unsure what your tax invoices must show.
Will it remember my business details?
Your business details and banking details are saved in this browser on this device, so they are filled in next time. Client details and line items are not saved.
